Learn more about Notion Templates

Notion templates” are pre-built designs and structures you can use in your Notion workspace to jump-start your work. These templates typically include structures for various types of content (like to-do lists, calendars, project boards, reading lists, etc.) and may also incorporate more complex functionalities (like relation or roll-up databases).

These templates can be used “as is” or customized according to your specific needs. They can be either created by Notion themselves or by the user community and shared publicly. You can find a wide variety of templates for different use cases such as project management, content creation, personal productivity, learning, team collaboration and many more.

Using templates in Notion can save a lot of time, as you don’t need to create everything from scratch. Additionally, by seeing the way that others have structured their content, you might get new ideas on how to best organize your own content.

Using Notion templates is fairly straightforward. Here’s a general guide on how to use them:

  1. Find a template you want to use: Notion provides an official set of templates right in the application, which you can find in the sidebar under “Templates”. You can also find templates on the Notion website, or from various other websites and communities where users share the templates they’ve created.

  2. Duplicate the template: Once you’ve found a template you want to use, click on it to view it, then click on the “Duplicate” button at the top-right corner of the screen. This will copy the template into your Notion workspace.

  3. Customize the template: After duplicating the template, you can modify it to suit your needs. You can add, delete, or move blocks around, change text, add tags, and do pretty much anything else you’d like with it.

  4. Add content: Now that you’ve set up your template, you can start adding content to it. The way you do this will depend on what kind of template you’re using. For example, if you’re using a to-do list template, you might add new tasks by typing them into the template and checking them off as you complete them.

  5. Share your template (Optional): If you’ve created a template that you think others might find useful, you can share it. To do this, you’ll need to make the page public, then create and share a link to it. You can also submit your template to Notion for inclusion in their official template gallery.

Remember, templates are just starting points – you’re always free to modify them to better suit your workflow and needs.

Yes, you absolutely can and are encouraged to customize Notion templates. One of the primary benefits of Notion is its versatility and flexibility. After duplicating a template into your workspace, you can adjust it to better fit your individual or team’s needs.

Here’s how you might go about customizing a Notion template:

  1. Add, delete, or rearrange blocks: Every piece of content in Notion – whether it’s text, a to-do item, an embedded file, a linked database, etc. – is a block. You can move these blocks around, delete them, or add new ones as needed.

  2. Modify existing content: You can also modify the existing content within a template. For example, you might change the names of database columns to better suit your workflow, or replace placeholder text with your own content.

  3. Use advanced features: Notion has many advanced features like the ability to create relations between databases, roll-up calculations, formulas, and more. If you’re comfortable with these features, you can use them to further customize your templates.

  4. Change the page’s appearance: You can change the icon and cover of a page, use different header levels, toggles, quotes, callouts, and even add color to your text to customize the look of your pages.

  5. Link or connect to other pages: You can create links to other pages within your Notion workspace or even create linked databases to have data from one database appear and be interactable within another page.

Remember, the key to effectively using Notion is making it work for you. Don’t be afraid to play around with templates and customize them to your liking. They’re meant to be a starting point to help you get set up quickly, not a final product that you have to use exactly as is.

Yes, you can create your own Notion templates. Here’s a simple way to do that:

  1. Create a New Page: Start by creating a new page in your Notion workspace. This will be the page that will become your template.

  2. Structure Your Page: Add blocks to your page to create the structure you want. Blocks can be anything from text, lists, and tables, to databases, images, files, etc. You can also nest blocks within other blocks to create more complex structures.

  3. Add Placeholder Content: Add placeholder content to your blocks if you want. This can be helpful to provide an example of what type of content should go in each block.

  4. Turn the Page into a Template: Once your page is set up how you want it, you can turn it into a template. To do this, create a new page or go to an existing page where you want the template to be available, and add a “Template Button” block. In the configuration options for the “Template Button” block, select the page you created as the template. This will make it so that every time you click the “Template Button”, a new instance of your template page will be created.

  5. Test Your Template: After creating your template, make sure to test it out. Click the “Template Button” and ensure that a new page is created with the correct structure and placeholder content.

Remember, templates in Notion are simply pre-structured pages that you can use as a starting point for new content. You can create a template for anything that you find yourself creating repeatedly, whether it’s a meeting agenda, project plan, reading list, journal entry, or anything else.

There are several sources where you can find high-quality Notion templates. The most popular is Notion’s Template Gallery: This is the best place to start as it is maintained by Notion themselves and contains a wide variety of templates for different use-cases. You can access it through the Notion app or on their website.

However, recently the Notion Template Gallery got flooded with low quality templates.

This is the reason why I have created this Notion Template Premium Gallery, that is focusing on displaying only high quality templates from top-creators.

Yes, free templates exist and I am also displaying some of them here. A good place to start is this list: 10+ free Notion templates.

Duplicating a template into your Notion workspace is pretty straightforward. Here are the steps to do it:

  1. Access the Template: Find the template you want to duplicate. This might be in the Notion Template Gallery, a template you’ve found from another user, or a link to a template that someone else has shared with you.

  2. Open the Template: Click on the template to open it.

  3. Duplicate the Template: In the top-right corner of the screen, you should see a button that says “Duplicate”. Click on this button.

  4. Select Workspace: A pop-up will appear asking you where you want to duplicate the template. Select the workspace where you want the template to go.

  5. Confirm Duplication: Click on the “Duplicate” button in the pop-up. The template will then be copied into your selected workspace, where you can start using and modifying it.

Remember, once you’ve duplicated the template into your workspace, it’s yours to customize as you see fit. You can add or delete content, rearrange blocks, change the page’s icon or cover, and much more. The template is just a starting point to help you get set up more quickly.
